i
Form#: B-52
7118191
DEPARTMENT OF FINANCE
REQUEST FOR COUNCIL ACTION
DEPARTMENT: DIT DATE: 10127120
STAFF CONTACT: Erik Lash PHONE: 808-932-2977
A. REQUEST:
The Department of Information Technology requests a resolution to authorize the Mayor to enter into a three-
year lease agreement for the purchase of Nutanix. The unit cost is $288,937.65 with a total cost of
$324,884.6 and approximate annual lease payment of$108,000 in months 7, 19 and 31 after which the
county will own the equipment.
We also request to waive the committee and 5 day hold in order to expedite the purchase for the reasons
stated below. This is a planned purchase with the capacity to grow and be centrally managed through a
dashboard for ease of maintenance, expansion, and upgrades.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The Nutanix environment will replace the counties existing GIS server fleet which consist of two gateway
servers which are already virtualized and 8 physical servers servicing all county GIS needs including the
EnerGov project and all GIS for county business units and emergency response.
Of the 8 physical servers currently in operation for GIS, only 3 remain within their expected hardware service
lifecycle. Of those three the next one goes end of life in June 2021.The remaining 5 servers that are in GIS
production for the county are already operating out of warranty and past the end of their service life.
If the current equipment is not replaced soon, we run the risk of the whole physical environment supporting
the counties GIS operations going down. An outage due to existing server hardware failure could result in
substantial disruption in county operations while new hardware is procured and setup to replace the broken
hardware.
As a replacement for the counties end of life physical GIS hardware, Nutanix implemented for GIS will
provide a cost-effective, flexible, and scalable platfrom on which the counties GIS can be implemented in
industry standard best practice configurations for for failover, redundancy, and high availability that will both
protect and promote the counties investments and its GIS integrations while providing ample room for growth
in GIS for the county without additional procurement expenditures for more physical servers or the labor
costs required to maintain those machines in servicable condition. It will also reduce monthly electrical and
cooling expenditures in the data center due to the Nutanix hardware design being much more efficient than
the physical servers that are currently in place and that it will be replacing.
SIGNED: '
DATE: 10/30120
DepartmE t Head
