REQUEST: <br />DEPARTMENT OF FINANCE <br />REQUEST FOR COUNCIL ACTION <br />Office of the County Auditor DATE: <br />Maxine Pacheco <br />11/20/2020 <br />PHONE: 961-8495 <br />The Office of the County Auditor is requesting a resolution authorizing the payment of funds in a later year <br />and for more than one fiscal year, for a multi-year lease to purchase (1) multi -function copier (MFC). The <br />lease would be a term for five (5) years. The copier will be assigned to our office located at 120 Pauahi <br />Street, Suite 309, Hilo, Hawaii 96720. <br />Payments will commence after delivery of equipment. <br />B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED): <br />Thea. lease for the current MFC is expired and the machine was acquired in 2012. It produces poor copies <br />(priint, fax and scan) and is at end of life. It will be used as a trade in for a newer machine. The MFC is <br />critical to handle the needs of our staff for copying, faxing and scanning documents. A new MFC will meet <br />the copying, printing, faxing and scanning needs of the office and improve overall efficiency in the office. <br />The estimated annual cost is $1,560.00 ($130.00/month). The budgeted amount for lease payments in FY <br />2021 is $360.00. We will have savings from other budgeted items to make up the shortfall in the current <br />fiscal year.
