REQUEST: <br />To enter into a multi -year lease agreement for five (5) years for nine (9) copy machines in the following <br />locations: North Hilo, Hamakua, Waimea, Maunalani Substation, Kohala, Captain Cook Substation, Kau, <br />Keaau and Pahoa. <br />B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED): <br />The lease on the copiers currently in use has expired. The present machines are constantly being repaired <br />which causes many non - operational periods. The Police Department would like to replace the current lease <br />for eight (8) locations and one (1) new lease for the Maunalani Substation. <br />The copier machines that are now available perform multi- functions such as faxing and printing. The <br />department is recommending this type of machines for these locations. Mostly vendors currently include the <br />toner and cartridge cost in the lease. This would eliminate these additional cost for the department to utilize <br />separate fax machines. <br />A copier at the Maunalani Substation would eliminate the need for officers to constantly drive up to the main <br />Waimea station to complete their paperwork. It is at least a 1/2 hour drive each way. <br />The Department is anticipating a monthly lease per machine of no more than $153.00 for the seven (7) <br />stations and $48.00 for the two (2) substations. <br />The cost per copy shall not exceed $.013 for the seven (7) locations and $.019 for the two (2) locations. <br />SIGNED: <br />• .
