NEW BUSINESS <br />Agenda Item 1: <br />Standardize the purchase of Logitech Group Video Conference System for the Hawai'i Police Department. <br />Members of the committee reviewed the written request submitted from the Hawai'i Police Department. <br />Sgt. Ragasa We would like to standardize this video conferencing system so any personnel in the department <br />can log in and have just one system to train on. Having inter -operability throughout the entire island makes it <br />easier for everyone to learn and teach others on this one system. <br />Ms. Sako Will you be installing at smaller districts that don't have video conferencing right now? <br />Sgt. Ragasa Yes, every district will have a video conferencing system. Previously, if a Prosecutor wanted to <br />do in-service training or provide law updates, they would drive around the entire island, to each district and give <br />a presentation, which sometimes would take a few weeks to do. During patrol briefings, they can just conduct <br />the presentation once and everyone will get the same information. <br />Mr. Kamelamela .- Why was this system selected? <br />Sgt. Ragasa,,,, At the start of COVID the department tried a variety of systems. Though there are cheaper <br />systems, we found Logitech to be more general; you can remote, log -in, and anyone with Microsoft Teams <br />meeting can control the camera if they wanted to. In the past, we used a pole with the webcam, placed in a <br />bucket of sand to conduct trainings. If you watched the 92"d Recognition Ceremony livestream on Facebook, <br />the system worked really well. Also, the zooming capability works for big and small conference room meetings. <br />Mr. Hunt — Do you know if the system allows you to record when conferencing for posterity purposes? <br />Sgt. Ragasa Yes, it does record. We use the recording system for some of our training already. <br />Mr. Kamelamela -- What's the cost of this system? <br />Sgt. Ragasa _ This system is approx. $1,300 and it's pretty robust. Includes external microphones which can be <br />used to walk out to everyone, the cables are 25ft. long so you can give it to someone speaking out in the <br />meeting/class. <br />If you're familiar with our training room and you bring the microphone to the center, others can actually hear <br />you speaking as opposed to the older system used before that was located in the front of the room. This system <br />is pricier than some and comparable to Meeting Owl but Owl is set up more for small conference rooms. <br />For 8 systems, it's about $10,500 and it doesn't include laptops. There are existing laptops and an order for <br />more laptops were placed to upgrade our training. <br />Ms. Sako - The Police department does have money budgeted for computers and similar items. <br />Sgt. Ragasa We are trying to bring the training section to the 21" century, it will be great and we're headed <br />that way. Each recruit will be assigned a laptop with a web conferencing system as well as the big system. <br />Also, when there's a presentation, the Presenter can do their PowerPoint where it will be connected to each <br />recruit's laptop, visible on a big screen, and everyone can interact. <br />
