Enclosed is a resolution author-z Ing the pay lent of funds for more than one fiscal year,
for new multi-year lease agrees n(-nts for two multifunction copy machines for the
Department of Environmental 'Vianagement. The monthly cost will be approximately
$170.00 per copier, The lease or one copier has expired and the other will be expiring in
April 202.1,

A. REQUEST:
Reso ution authorizing the Mayor to enter into a multi-year lease agreement for five (5) years for a digital
multi-function copier for the Department of Environmental Management Administration/Business Services
office.
B. BACKGROUND AND JUSTIFICATION 'USE ADDITIONAL SHEETS AS NEEI2EQa.
The current copier is requiring more frequent service calls and replacement parts are becoming obsolete.
The original lease period on the existing; copier has expired and it's more practical to lease a new copier than
to continue leasing an outdated) copier. 'The copier is heavily used for both copying and scanning
documents.
The copier will be leased for a period c 5 years, The estimated monthly cost for the lease is $170. Funding
for th 3 lease is included in the FY 2020.2021 Budget.

Administrative Office.
B. BACKGROUND AND JUSTIFICATIOIIJ (USE ADDITIONAL SHEETS AS NEEDED):
Our current copy machine is on a 5 year lease period which is ending April 2021. With the current lease
peri Dd expiring soon, it is more practical to lease a newer upgraded machine rather than continue with the
current machine. The copy machine is used for copying documents, scanning electronic copies and multiple
size print jobs (11x17, 8.5x14 and 8.5:<11).
The copy mach'ne will be leased for a period of 5 years. Estimated mothly cost for the lease is $170.00.
