Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi-year lease agreement for one multifunction copy machine for the
Department of Public Works Traffic Division. The monthly cost will be approximately
$215.93. A new copier is needed to increase productivity and efficiency.

A. REQUEST:
The Department of Public Works Traffic Division is requesting a resolution authorizing the payment of funds
of a later fiscal year and of more than one fiscal year for a multi-year lease for one (1) multi-function color
copier, scanner, fax, printer. The copier will be assigned to the Safety Section. The estimated lease cost is
$215.93 per month for a sixty (60) month term of no more than five (5) years.

B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDEDY
The new multi-function machine will be primarily used for the Safety Section to increase productivity and
efficiency in producing and transmitting high quality site layouts and printouts with a reliable machine thereby
minimizing delays in response to safety section work requests for East Hawai'i Schultz Siding baseyard
location.

The estimated maintenance cost is approximately$215.93 per month for a sixty (60) month term. {

This lease is funded in the FY 2021-22 Highway Fund budget and proposed FY 2022-23 budget.

PAYMENT OF FUNDS OF A LATER FISCAL YEAR AND OF MORE THAN

FUNCTION COPY MACHINE FOR THE DEPARTMENT OF PUBLIC WORKS
Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawaii, this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter, timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
