Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for new multi-year lease agreements for five multifunction printers for the Department of
Environmental Management's Solid Waste Division. The monthly cost will be
approximately $110.00 per printer. The leases for the current printer/copiers have
expired.

MULTI-YEAR LEASES FOR FIVE (5) MULTIFUNCTION PRINTERS FOR THE DEPARTMENT
OF ENVIRONMENTAL MANAGEMENT
Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawaii, this written request is submitted with my approval that the above -referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter, timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.

A. REQUEST:
Resolution authorizing the Mayor to enter into a multi-year lease agreement for five (5) years for five (5) each
Multifuntion Printers for the Department of Environmental Management Solid Waste Division.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
Currently, the Solid Waste Division utlizes and leases five (5) Multifunction Printers (MFP) at various
locations, and those are are for the East and West Hawai'i Scale House, Hilo, Kona and Waimea base
yards:
The Division is requesting to replace the old outdated 5 MFPs, as they have reached the end of their useful
life. The new MFPs will be used for the processing of daily operations and fiscal scale responsibilities such
as scanning, printing, copying, and storage to the server.
The existing lease has ended, and it is much more practical to lease new MFPs than to pay a montly rental
fee for units which are at the end of its useful life.
The MFPs will be leased for a period of 5 years. The estimated monthly cost for the lease of five units is .
$550.00 ($110.00 per unit). This cost is inclusive of parts, labor, travel and supplies (except paper and
staples). Funding for the lease is included in the FY 2023-2024 Budget.
