Re: Resolution for multi-year leases
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for new multi-year lease agreements for three multi-function copy machines for the
Planning Department's Hilo and Kona offices. The monthly cost will be approximately
$275,plus applicable taxes for each copier.

A. REQUEST:
To enter into a multi-year lease agreement for two multi function devices (copy/scan/fax)for the Planning
Department's Hilo office.
The machine will be located in the Hilo office located at 100 Pauahi St., Suite 3, Hilo, HI 96720.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The Hilo Planning Department office consists of approximately fourty-five staff positions for which two multi-
function devices(copy/print/fax) are needed to support operations. These new devices will replace the
current devices that have reached the end of their lease life with newer devises that will funtion better, be
more secure, and cost less than the current devices.
The Department is anticipating the following monthly costs:
Lease of no more than $275.00(plus applicabale taxes) per unit, per month.

The machine will be located in the West Hawaii office located at 74-5044 Ane Keohokalolo Hwy#e, Kailua-
Kona, HI 96740.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The West Hawaii Planning Department office consists of approximately twelve staff positions for which a
multi-function device (copy/print/fax) is needed to support operations. This new device will replace the
current device that has reached the end of it's lease life with a newer device that will funtion better, be more
secure, and cost less than the current device.
The Department is anticipating the following monthly costs:
Lease of no more than $275.00 (plus applicable taxes) per month.

RE: Resolution No. 463-24 : RESOLUTION AUTHORIZING THE PAYMENT
OF FUNDS OF A LATER FISCAL YEAR AND OF MORE THAN ONE FISCAL YEAR FOR
MULTI-YEAR LEASES FOR THREE (3) MULTI-FUNCTION COPY MACHINES FOR THE
PLANNING DEPARTMENT
Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawai`i,this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter, timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
