Re: Resolution for multi -year leases
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year, for
multi -year lease agreements for seven multifunction copy machines for the Department of Public
Works. The copiers will be utilized by the Department of Public Works Highway Maintenance
Division at base yards island wide. The monthly cost will be approximately $59.43 each for six
of the copiers and $178.66 for one copier.

The Department of Public Works Highway Maintenance Division is requesting a resolution authorizing the
payment of funds of a later fiscal year and of more than one fiscal year for a multi -year lease for seven (7)
multi -function color copiers which include scanner, printer, fax. One (1) machine will be assigned to the
Highway Administration office and one (1) assigned at each of the six (6) highway baseyards (South Hilo,
Puna, Ka'O, H5makua, South Kohala, Kona).
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The multifunction machines will be used to create copies, high -quality larger prints, and day to day regular
prints. Will include scanning to archive printed/hard copy records and fax machine. All copier leases for the
Highway Maintenance Division have expired and machines are experiencing frequent breakdowns.
The estimated cost for six baseyard machines is approximately $356.57/month over a sixty (60) month term
which includes lease and monthly service including parts, labor, toner and staples.
The estimated cost for Highway Administration machine is approximately $178.66/month over a sixty (60)
month term which includes lease and monthly service including parts, labor, toner and staples.

Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawaii, this written request is submitted with my approval that the above -referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter, timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
