RESOLUTION NO. 400 25
A RESOLUTION AUTHORIZING THE PAYMENT OF FUNDS OF LATER FISCAL
YEARS TO ENTER INTO A MULTI -YEAR LEASE AGREEMENT FOR MAILING
SYSTEM EQUIPMENT TO BE USED BY THE OFFICE OF THE COUNTY CLERK.
WHEREAS, Section 10-11 of the Charter of the County of Hawaii (hereinafter "the
Charter") provides, in part, that "any contract, lease or other obligation requiring the payment of
funds from the appropriations of a later fiscal year or of more than one fiscal year shall be made
or approved by resolution'; and
WHEREAS, the Office of the County Clerk (hereinafter "the Office") wishes to enter
into a multi -year lease agreement, with a term of five years, for new mailing system equipment;
and
WHEREAS, the Office estimates the annual cost of this agreement to be $10,000; and
WHEREAS, this equipment will be utilized in Hilo by staff in the Office's Support
Services division to process and handle all mailing requests from various County departments
and agencies; and
WHEREAS, the lease agreement for the existing equipment that is currently utilized
expired on June 29, 2025, making the acquisition of new equipment essential to maintain
efficient and timely mailing operations and support for the entire County; now, therefore,
BE IT RESOLVED BY THE COUNCIL OF THE COUNTY OF HAWAI`I that the
Mayor is hereby authorized to enter into a multi -year lease agreement, with a term of five years,
for the purposes hereinabove described.
BE IT FURTHER RESOLVED that, in accordance with Section 10-11 of the Charter,
sufficient funds be budgeted in later fiscal years to cover the anticipated obligations of the
County under the terms of the lease agreement.
BE IT FINALLY RESOLVED that the County Clerk shall transmit a copy of this
resolution to Diane T. Nakagawa, Director of Finance.
