Konishi County Clerk C?11 RE: Resolution Relating to Lease of Postage Machine for the Office of the County Clerk Attached is a resolution authorizing the payment of funds of a later fiscal year for a 72-month lease for a postage machine for the Office of the County Clerk. The current postage machine was purchased in 1991 and is no longer in production. Maintenance is problematic because some parts are not available. As you know, the Clerk's Office processes mail for all departments and agencies of the County. Reliability is important. The research conducted by Duplicating Machine Room Supervisor Margaret Lucas found that our current cost for postal equipment is approximately $305 per month. The lease arrangement would cost $325 per month and includes meter rental, equipment maintenance and softguard upgrades. The `lease and save program' offered by Pitney Bowes will be offered through June. Additionally, a new automated feature, called "meter-as-you-go", would allow personnel to place a number of pieces on the scale, the scale would automatically subtract the weight of each piece to be metered and print out the stamp. Presently, our employees place a single piece on the meter, input the calculated postage and print out the stamp. The current postage machine would be treated as a trade in. Thank you for your favorable consideration of this request. I would appreciate waiving this resolution to Council in order to execute the lease agreement before July 1, 2000. In reviewing this matter, timely approval is crucial. It is therefore advantageous that approval is granted and the matter placed onto the next Council agenda for review. However, in the event this request is denied, for whatever reason, I understand the matter shall be referred to the Committee on Finance for placement on its future agenda.
