Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year
for a copy machine for the Department of Civil Service. the copy machine currently
being used is nearing 9 years old, is unable to perform certain functions, and requires
frequent service calls. It is estimated that the annual cost of leasing a copy machine
would be less than the Department's maintenance and supplies cost of their existing
machine.

To be able to enter into a 5 year lease agreement with Xerox for a copier for the
department.

The current copier was delivered to our office on September 29, 1993 and is now
almost 9 years old and in need of constant repairs. The double sided feature
has not been working well for several years and the sorter doesn't always sort
our jobs in order. Paper is constantly getting jammed and because we are always
having to call for the repairman, productivity and efficiency of our office is
affected.
We have discovered that the annual cost of leasing a copy machine (and other
related costs under that arrangement) would be less than our maintenance cost
and the cost of supplies for our existing machine.
