Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year
for a copy machine for the Data Systems Department. The copy machine currently
being used is over 12 years old and is considered obsolete by the company that
provides the maintenance. Also, the repair technician has said that replacement parts
may no longer be available for fixing the machine.
If there are any questions, please do not hesitate to call the Data Systems Department.

A. REQUEST:
To be able to enter into a 5 year lease agreement for a copier that will be used by the staff.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
Our current copier is over 12 years old and is considered obsolete by the company that provides
maintenance. We have been informed by the technician that replacement parts may no longer be available
for fixing the machine and he recommended that we replace the unit with a new one. (The automatic
document feeder has been broken for some time and he has been unable to repair it.) Paperjams and
lopsided copies contribute to many spoiled copies and time spent reduplicating is wasting employee's time.
