Nutrition Program -Elderly Activities Lease of Copy Machine
Attached is the cost information you requested from the Nutrition Program for the
subject resolution. The expenditure for a new leased copier will be funded
through Federal funds for operating the Nutrition Program. Should you have any

Cost Analysis tar a New Leased Copy Machine
Current Copier Factors (13 years aid):
1. Breakdowns and Repairs
Our current copier was purchased in June of 1991. Due to the age of the copier,
we have experienced 13 breakdowns, with down time of up to 5 days, over the past
2 years.
This has resulted in inefficiencies, and delays of service to over 1,000 senior
nutrition program participants around the island (copier used to duplicate
educational materials).
2. Obsolescence
Service repairmen have stated that locating repair parts for our current Copier is
now becoming difficult, and that the copier is becoming obsolete.
3. Current Copier l9ummary

* It is difficult to put a monthly cost of the inefficiencies caused by our current
machine, including service breakdowns and difficulties in securing parts.

New Leased Copier Factors:
1. Funding
All Costs for the copier will be paid for using 100% Federal funds.
The copier lease agreement currently on the County's bid list includes full service
maintenance and imaging supplies for the length of the lease. There is a separate
charge of .0113 cents per copy, up to 7,500 copies/month (we expect to make
approximately 4,000 copies/month).
We have budgeted $290/month to cover the cast of the lease agreement and copy
charges, however, we do not have the funding to purchase a brand new copier.
2. New Technology and EfTicieucies
Upgrading tc a digital copier will provide sharper, clearer copies, and eliminate
our need to purchase additional toner supplies and a maintenance agreement.
3. New Leased Copier Summary
Monthly Lease (Hid #2027, Item #3
from current COI-I bid list) $125.02
Monthly Copy Charges (.0113 cents per copy
for 4,000 copies) ~ 45.20
Total Monthly Cost $170.22*
* It is difficult to put a monthly cast of the efficiencies that will be realized from
this new copier.
