Subject: Composition and Membership of Boards and Commissions
Today, during the meeting of the Committee on Human Services and Economic
Development, members had questions and concerns regarding the maintenance of the
member roster of the various boards and commissions. Mr. Wendell Hatada was
unavailable to answer questions today. [would like to respectfully ask for you to refer
this matter to the appropriate committee to be agendized for further discussion with Mr.
Hatada present for questions.
I have attached a communication that was sent to the Mayor Kim dated .lanuary 26, 2004
requesting a format to be followed by each board and commission to maintain such a
roster for their members.

Subj.: Composition and Membership of Boards & Commissions
The County Council and its Committees frequently have before them consideration or information
regarding appointments to the County's boards and commissions. Often times, Mr. Hatada is
questioned as to the terms, affiliation, district representation and status of membership of these
volunteer agencies. In order to make discussion more focused and the decision more informed, we
would like to request a format similar to the attached be followed for each board or commission
sanctioned by the Hawaii County Charter. A suggestion would be for the secretary of each board or
commission to maintain such a roster of their members, with information updated as members resign or
their membership expires and new members are appointed. All forms could be collected and put
together for public information.
We would also like to request that when members resign, a copy of the resignation letter be sent to the
County Council with an updated roster for that board or commission, and that each time an
appointment is sent to the Council for confirmation or information, an updated roster be sent with the
correspondence.
We thank you for your consideration and attention to this matter.
