Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year
for a large format copier for the Engineering Division of the Department of Public Works.
The Department's current copier is 8 years old and broken. The maintenance company
has stated that it can't be repaired since replacement parts are difficult to locate as this
copier has become obsolete.
If there are any questions, please do not hesitate to call the Public Works Department.

A. REQUEST:
Resolution to allow the department to enter into amulti-year lease for a large format copier for the
Department of Public Works Engineering Division.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The Department's current large format copier is 8 years old, it is used to make copies of construction
drawings. The copier is currently broken and the company that has the maintenance agreement, has told us
that they can't repair the copier since the replacement parts are difficult to locate as the copier has become
obsolete. Funding for the maintenance of the current copier will be used to fund the lease of a new copier.
An evaluation of a lease agreement has provided us information that a lease is more cost efficient (less
maintenance and overage fees).
