Re: Resolution for multi-year leases
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year
for two (2) high volume copiers for the Office of the Prosecuting Attorney's Hilo and
Kona offices. The Prosecutor's Office will soon be receiving case files electronically
from the Police Department and this will greatly increase the monthly copy output for
their current copiers. The upgrade to high volume machines will be more efficient and
cost effective.

A. REQUEST:
To enter into a multi-year lease agreement for five (5) years for two (2) copy machines for the Hilo and Kona
offices.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
We are seeking replacement of two copiers for the Hilo and Kona offices. We will be begin receiving case
files from the Police electronically as soon as December 2007. This will increase the copy output to
approximately 130,000 in Hilo and 80,000 in Kona. The Hilo machine, purchased in 2003, is on a
maintenance plan for 50,000 copies per month. The Kona machine, purchased in 2005, is on a maintenance
plan for 30,000 copies per month. We would like to upgrade the current copiers to high volume machines
which will be more efficient and cost effective.
