The Administrative and Business Services office staff currently shares an intermediate volume copier and the copy volume of that copier is more than double the copy allowance of the annual maintenance agreement. Acquiring a second copier should increase the efficiency of the office. REQUEST: Resolution authorizing the Mayor to enter into a multi-year lease agreement for an intermediate volume copy machine for the Department of Environmental Management Adminstration/Business Services office. B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED): Within the past few years, we've consolidated our divisions' accounting staff with the Administration's accounting staff to form the Business Services section located in one central office. Our Administrative and Business Services office staff currently utilizes an intermediate volume copy machine (purchased in 7/03) with an annual maintenance agreement that includes a copy allowance of 90,000 copies. The expansion of our staff has increased our copy volume that more than doubles the copy allowance. The copy machine is located in a central area in the middle of the office for equal access by the staff located in the front and back of the office. A second copy machine will allow us to place one near the front office staff who provides direct customer service over the counter, enabling immediate access to the copy machine, as well as increasing efficiency by reducing their walking and waiting time to make copies. The preferred payment method for this additional copy machine is a 5-year lease agreement to spread the total cost over a longer period.
