The Office of the Prosecuting Attorney, Kona Branch, has a copying machine,
which 5-year lease ends in November 1998. Enclosed is a resolution
authorizing the Mayor to enter into a multi-year lease for a new copier for your
approval.
As time is of the essence in getting a new copier in a timely manner, the
department would like this resolution to go directly to the Council meeting
scheduled on November 6, 1998.
If there are any questions, please do not hesitate to call the Office of the

RE: Attached Resolution
Pursuant to Section 1(e) of Rule 4 of the Rules of Procedure of the Council of the County
of Hawai'i, this written approval is submitted in regards to Resolution No. 347_9
authorizing the payment of funds of a later Fiscal Year and of more than one Fiscal Year
for a multi-year lease for a copy machine, waiving said referral from the Committee on
Finance in order that appropriate action be taken by the Council.
In reviewing the contents of the referral, it is deemed advisable that this waiver be
granted.

A. REOUEST:
Multi-year (3 year) lease for heavy duty, high speed copier for Kona Office.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The currently leased copier is breaking down on a daily basis and is at
the end of the five year lease we had on it. We are desperate for a
fuctional copier and wish to enter into a three year lease with a
cancellation option to provide dependable service for our Kona
employees.
Since the cost of the current lease agreement is already budgeted in the
current fiscal year, we have the funds to pay for the rest of this year
and can budget subsequent years appropriately. The cost of purchasing a
new machine is prohibitive and with the cancellation option we can upgrade
the machine before the three years is up if it becomes necessary.
