Their current copier, purchased in 2005, is becoming obsolete and requiring frequent service calls. Having a fully operational copier is critical to the Kona office's operations as it needs to handle the large volume of work of the staff covering two Circuit Courts, one District Court, and one Family Court. A new leased multifunctional copier that's able to meet their copying, printing, and scanning needs would improve overall efficiency in the office. Also, it is anticipated that it is more cost effective to lease a new copier than purchasing a replacement and paying the maintenance costs. The estimated annual cost for this copier is $6,000. REQUEST: SIGNED: Prosecuting Attorney Nancy Kelly DEPARTMENT OF FINANCE REQUEST FOR COUNCIL ACTION To enter into a multi -year lease agreement for five (5) years for a multifunctional copy machine for the Kona office to replace a similar machine purchased in 2005. B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED): We are seeking replacement of a multifunctional copier in the Kona office. The current copier was purchased in March 2005 for $19,401 and is on a five year maintenance plan of $292 /month which will expire in March 2010. The machine is becoming obsolete, has been requiring frequent service calls, and is not suitable for continued service for an additional 15 months. This is one of two copiers in the Kona office and is critical to handle the volume of work for our staff covering two Circuit Courts, one District Court and one Family Court. It is essential to have two fully operational machines available for our staff who are pressed to meet Court deadlines daily. We estimate usage will be approximately 10,000 copies per month. A new leased multifunctional copier able to meet copying, printing and scanning needs will improve overall efficiency in the office. The estimated monthly lease would be $400 /month plus $.0098 per page charge. This is more cost effective than purchasing a replacement and paying maintenance charges.
