Sako Deputy Director Dominic Yagong, Council Chair and Members of the Hawaii County Council Hawaii County Council - 25 Aupuni Street Hilo, Hawaii 96720 Re: Resolution for multi -year lease Enclosed is a resolution authorizing the payment of funds for more than one fiscal year for a new multi -year lease agreement for three (3) copiers for the Hawaii County Police Department at their Public Safety Building Machine Room, Public Safety Building Records and Kona Patrol locations. Their lease for the copiers currently in use is expired, and they wish to enter into a lease which accommodates a reduction in volume. By entering into this multi -year lease, the operating cost per month is expected to be less than the costs under the recently expired lease. REQUEST: To enter into a multi -year lease agreement for five (5) years for three (3) copy machines in the following locations: Public Safety Building Machine Room, Public Safety Building Records and Kona Patrol. B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED): The lease on the copiers currently in use has expired. The present machines are constantly being repaired which causes many non - operational periods. The Police Department would like to obtain new leases for copiers for the three locations. Within the last few years the Department has computerized many of its documents with an attempt to minimize the usage of paper. This has resulted in a decrease in number of copies made. The current copier leases includes 100,000 copies per month. The Department would like get a lease which will include a lower number of copies which will result in a lower monthly cost. The current machines are being leased for $1,378.86 per month. We seek to lease replacement copiers with comparable features.
