Re: Resolution for multi -year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi -year lease agreement, for one (1) copier for the Department of Human
Resources. Their current copy machine is nearly eight years old, and in need of
replacement.
The new copier will improve the efficiency of the Human Resource staff by providing
improved performance at a decreased cost.

A. REQUEST:
Approval to enter into a five (5) year lease agreement for one (1) multi- function copy machine for the
Department of Human Resources.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The department's black and white copy machine is almost 8 years old and requires frequent repairs.
Upgrading to a faster, more technologically advanced machine will lower monthly costs and allow staff to
increase their productivity.
The current machine is being leased for $330.82 per month plus $.0182 for each black and white copy in
excess of the monthly print allowance.
A new lease for a multi- function copy machine will cost approximately $325.00 per month plus $.0099 for
each black and white copy in excess of the monthly print allowance. Color copies will cost approximately
$0.0790 per copy.
