SUBJECT: Proposed Amendments to Resolution No. 46 -11, Draft 2; Relating to Leasing
Copiers for the Hawai`i County Police Department
Please find attached proposed amendments to Resolution No. 46 -11, Draft 2. The proposed
amendments are illustrated below in Ramseyer format with respect to the contents of Resolution
No. 46 -11, Draft 2 (material to be added is underscored).
The BE IT FURTHER RESOLVED clause of Resolution No. 46 -11, Draft 2, is amended to read
as follows:
"BE IT FURTHER RESOLVED that three (3) copiers, comparable to the existing copiers in
the Hawaii County Police Department's specified locations shall be leased for a period of
five (5) years at a cost not to exceed $850 per machine per month and shall not exceed
one (1) cent per page for each black and white copy in excess of 40,000 copies per
machine."
A draft copy of Resolution No. 46 -11, Draft 3, is attached with this amendment incorporated
therein.

RESOLUTION AUTHORIZING THE PAYMENT OF FUNDS OF A LATER FISCAL
YEAR AND OF MORE THAN ONE FISCAL YEAR FOR A MULTI -YEAR LEASE OF
THREE (3) COPIERS FOR THE HAWAI'I COUNTY POLICE DEPARTMENT
WHEREAS, Section 10 -11 of the County Charter requires that any contract, lease or other
obligation requiring payment of funds from the appropriations of a later fiscal year or of more
than one fiscal year be approved by resolution; and
WHEREAS, the County of Hawai'i wishes to enter into a multi -year lease agreement for five
(5) years for one (1) copier for the Hawaii County Police Department's Public Safety Building
Machine Room, one (1) copier for their Public Safety Building Records location and one (1) copier
for their Kona Patrol location, as their current copier lease for these units has expired; and
WHEREAS, the Hawaii County Police Department is looking for comparable copiers to
their present units, with a reduced volume specification, to accommodate the reduced demand
of their office, resulting in a lower monthly cost; now, therefore
BE IT RESOLVED BY THE COUNCIL OF THE COUNTY OF HAWAII:
1. That the Mayor is hereby authorized to enter into a five (5) year lease
agreement for three (3) copiers for the Hawaii County Police Department.
2. That sufficient funds be budgeted in future fiscal years to cover the anticipated
obligations of the County under the terms of the agreement.
BE IT FURTHER RESOLVED that three (3) copiers, comparable to the existing
copiers in the Hawaii County Police Department's specified locations shall be leased for a
period of five (5) years at a cost not to exceed $850 per machine per month and shall not
exceed one (1) cent per page for each black and white copy in excess of 40,000 copies per
machine.
BE IT FINALLY RESOLVED that the County Clerk of the County of Hawaii shall
transmit copies of this resolution to the Office of the Mayor, the Hawaii County Police
Department, and the Finance Department.
