Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi -year lease agreement, for one (1) multi- function copier for the
Department of Information Technology. The copy machine and printer they currently
use are both over eight years old and are near the end of their useful lives. They wish
to replace the two units with a single multi- function machine.

A. REQUEST:
Approval to enter into a 5 -year multi -year lease agreement for one (1) multi- function copy machine for use by
the Department of Information Technology.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
Our color printer is over 8 years old and is considered obsolete by the company that used to provide
maintenance. We have been informed that replacement parts may no longer be available for fixing the
machine and it was . recommended that we replace the unit. Our copier is also 8 years old and is nearing the
end of its useful life (constant paper jams, miscellaneous lines, etc), thus parts and repair would cost more
than fiscally responsible.
We seek replacement of both units with one (1) multi- function copy machine with comparable features.
Lease price not to exceed $400 per month, b/w copies shall not exceed 3 cents and color copies shall not
exceed 8 cents.
