Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi-year lease agreement, for one copier for the Finance Department's
Vehicle Registration and Licensing division. The machine they currently use was
originally leased in 2005, and is near the end of its useful life. They wish to replace it
with a new unit, to be used at the Motor Vehicle Registration and Licensing Division,
Hilo Driver Licensing section.
The Commercial Driver License program is state funded and will be covering 25% of the
lease and maintenance costs.

A. REQUEST:
Approval to enter into a five (5) year lease agreement for one (1) desktop black &white copy machine with
copier stand for the Department of Finance, Vehicle Registration & Licensing Division, Hilo Driver Licensing
and Commercial Driver Licensing Sections.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The section's black and white copy machine was originally leased in 2005. The copier is quickly becoming
obsolete and parts for repair are becoming more difficult to obtain. Upgrading to a newer model will allow
staff to increase their productivity with less interruption. The copier will be shared by Hilo Driver Licensing
and Hilo Commercial Driver Licensing. The Commercial Driver License Program is State funded and will be
covering 25% of the lease & maintenance costs.
A new lease for a multi-function copy machine equipped with fax capabilities, automatic two-sided copying,
sorting capabilities, 25 page minimum automatic document feeder and minimum print speed of 30 copies per
minute will cost approximately $195.00 per month plus $.02112 for each black and white copy in excess of
the monthly print allowance.
