Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi-year lease agreement, for two copiers for the Finance Department's
Real Property Tax division. The machines they currently use, which are approximately
seven years old, are in constant need of repair; also, they are two years beyond their
lease period and considered obsolete. They wish to replace them with new units, to be
used in the Real Property Tax division's offices both in Hilo and in the West Hawaii
Civic Center.

A. REQUEST:
Approval to enter into a five-year multi-year lease agreement for two (2) multi-function copy machines for the
Real Property Tax Division (one machine to be located at the West Hawaii Civic Center and one machine to
be located at Aupuni Center office).
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The original maintenance agreement currently for both machines were originated in May, 2005. The units
are 7 years old and are in need of constant repairs which has lead to non-operational periods, often in
excess of several days. The current machines are 2 years beyond the lease period and are obsolete.
Lease will not exceed * $500 per month (for both units) which includes up to 10,000 copies/prints at .01/copy
and 200 color copies at .08 per copy.
