The system they currently use is seven years old and obsolete. Furthermore, replacement parts are no longer being manufactured. REQUEST: The Prosecutor's Office is requesting a resolution authorizing the payment of funds, in a later year and for more than one year, for a multi-year lease to purchase a phone system for the Hilo office to replace the current phone system that is obsolete and has no replacement parts in production any more. The estimated number of handsets is 95 along with a receptionist's console. The lease/loan to purchase would be for a term of five (5) years. B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED): The current phone system at the Hilo Prosecutor's office is seven (7) years old and is now obsolete. The company that manufactured the phone system has discontinued production of parts to repair the system. Should any futher breakdowns occur, repairing the system is subject to finding "formerly used" parts. This system has well exceeded its useful life and any breakdowns could seriously impact communications within the office as well as with those outside of the office, causing a major impact on productivity. Anticipated costs are approximately $90,000 with interest over a five year lease/loan to purchase term. Estimated lease cost is $1,500 per month or $18,000 annually for the system. Additional years of maintenance will cost approximately $6,500. This purchase will be supported in the current budget FY 13 - 14, 010.271.5271.02.109 and FY 14 - 15, 010.271.5271.02.109 SIGNED: DATE: C9 9' 2---0 Department Head B-52 Attachment Clarification: The phone system will cost approximately$80,000 for the first year, which includes the maintenance for the first year. Kay Oshiro told me that the financing for the $80,000 at 2%will make the total payments for the loan at $90,000. The "Loan" payments will be $1,500 a month. Starting the second year we will be charged approximately$6,500 per year for one year of maintenance agreement.
