Re: Resolution for multi-year agreement
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year, for a
new multi-year agreement to purchase software and associated license agreements by the
Department of Information Technology. The majority of the computers currently in use by
County employees, utilize a legacy operating system that will no longer be supported by
Microsoft Corporation after the second quarter of 2014. The Department of Information
Technology has instituted a program to replace these computers in order to ensure the County's
ability to utilize functional equipment.
The primary desktop application the replacement computers will utilize is Microsoft Office
2013. By purchasing the software and licenses through Microsoft's three year Enterprise
Agreement, with an approximate annual expenditure of$126,757, roughly $15,998 will be saved
in actual software costs, as well as any additional savings realized from free upgrades of
Microsoft 2013 to future versions, for the term of the agreement, at no additional cost.

A. REQUEST:
Request approval for a 3 year contract to establish an Microsoft Enterprise Agreement for software puchase
and licensing for.Microsoft Office 2013 to be installed on approximately 700 new PC's and Laptops.
B. BACKGROUND AND JUSTIFICATION(USE ADDITIONAL SHEETS AS NEEDED):
The 3-year Enterprise Agreement to purchase approximately.700 copies of Microsoft Office 2013 for the new
PC's and laptops will allow the county to spread the cost of$380,271 worth of software over a 3 year period
into payments of$126,757. Establishing the Enterprise Agreeement will save the County$15,998 in actual
costs for the software. Additionally, maintaining the Enterprise Agreement gives the County the license to
upgrade the Office 2013 to future versions at no additonal cost, which will save the.County money in the
future.
