Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year, for a
new multi-year lease agreement of one multi-function copy machine for the Hawai`i Fire
Department. The copier being replaced has an expired lease and does not function properly. The
estimated lease cost is approximately $200 per month.
The Hawai`i Fire Department requests that this resolution be waived from the Finance
Committee and be placed on the September 17, 2014 Council Agenda. If there are any
questions, please do not hesitate to call Melanio Lorenzo from the Hawai`i Fire Department at
932-2921.

A. REQUEST:
The Hawai'i Fire Department is requesting a resolution authorizing the payment of funds in a later year and
for more than one fiscal year for a multi-year lease to purchase one (1) multi-function copier. The lease
would be for a term of five (5) years. The copier will be assigned to the Fire Department Administration
Office. The estimated lease cost is cost of $200 per month for a sixty (60) month term.
Payments will commence after delivery of equipment.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The lease for the existing copier has expired last fiscal year. It's currently producing poor copies and the
document feeder, on occasion pulls multiple pages and results in incorrectly sequenced pages.
The estimated FY 2014-2015 payments are currently budgeted in our FY 2014-2015 operating budget.
Lease payments for subsequent years will be budgeted accordingly. Being that current fiscal year payments
have been budgeted, the Department is requesting that the Finance Committee hearing be waived.

RE: Resolution No. 513-14 : A Resolution Authorizing the Payment of Funds of a Later
Fiscal Year and of More Than One Fiscal Year for a Multi-Year Lease for One (1) Multi-
Function Copy Machine for the Hawaii Fire Department.
Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawai`i, this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter, timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
