Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi-year lease agreement of one multi-function copy machine for the
Department of Environmental Management. The copier being replaced is requiring
frequent service calls and replacement parts are becoming obsolete. The estimated lease
cost is approximately $220 per month.

A. REQUEST:
Resolution authorizing the Mayor to enter into a multi-year lease agreement for five (5) years for a digital
multi-function copier for the Department of Environmental Management Solid Waste Division Admin Office.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The current copier is requiring more frequent service calls and replacement parts are becoming obsolete.
The original lease period on the existing copier has expired and it's more practical to lease a new copier than
to continue leasing an outdated copier. The copier is heavily used for copying documents. Copier will also
be used for staff to have the ability to scan and save documents files electronically.
The copier will be leased for a period of 5 years. The estimated monthly cost for the lease is $220.00.
Funding is available in the FY 2015-2016 Budget.

Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawaii, this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter, timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
