Re: Resolution to amend a multi-year lease resolution
Enclosed is a resolution to amend Resolution No. 256-13, which authorizes payment of
funds for more than one fiscal year, for a multi-year agreement to purchase software and
licensing for the County's email system.
Resolution No. 256-13 limited the annual lease amount to a maximum of$180,000.
However, the number of licenses needed increased and additional licensing was added to
the agreement to include essential anti-virus and anti-spam services. These much needed
adjustments increase the third and final year's cost to $197,749.48.
Enclosed is a Resolution to authorize the increases of the cost cap for the final year of the
agreement indicated above to $197,749.48. If there are any questions, please do not

A. REQUEST:
The Hawaii Department of Information Technology is requesting a resolution authorizing an increase in the
not to exceed cost on Resolution 256 13. This resolution was to authorize a multi-year agreement to
purchase software and licensing for the County Email system. The resolution set a not to exceed total of
$180,000. The final year 3 payment is $197,749.48. The increase is a result of adjustments to our total
licensing count and the licensing to allow for Email anti-virus and anti-spam services.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
This software and licensing is used by the entire County to provide Email and Anti-virus/Anti-SPAM services
to ensure all County email accounts are functional and protected.

RE: Resolution No. 404-16 ; RESOLUTION TO AMEND RESOLUTION NO. 256-13 BY
INCREASING THE COST CAP FOR THE FINAL YEAR OF A MULTI-YEAR AGREEMENT TO
PURCHASE SOFTWARE AND LICENSING FOR THE COUNTY EMAIL SYSTEM.
Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawaii, this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter, timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
