Re: Resolution for multi-year agreement
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a five year, multi-year maintenance agreement for a multi-function copy machine
being purchased for the Department of Public Works' Traffic Division. The estimated
cost of this maintenance agreement is approximately $60 per month.

A. REQUEST:
To enter into a new five (5) multi-year agreement for the maintenance of a brand new multi-function color
copier, scanner, fax, printer that will be purchased for the Department of Public Works, Traffic Division,
Signals and Street Lights Section.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The Department of Public Works Traffic Division - Signals and Street Lights section would like to enter into a
new five (5) multi-year maintenance agreement with the purchase of a new multi-function color copier,
scanner, fax, printer for East Hawaii Schultz Siding baseyard location.
The estimated maintenance cost is approximately $60.00 per month for a sixty (60) month term. The
Department is also requesting that the Finance Committee hearing be waived.

RE: Resolution No. 507-16 : RESOLUTION AUTHORIZING THE PAYMENT OF FUNDS
OF A LATER FISCAL YEAR AND OF MORE THAN ONE FISCAL YEAR FOR A MULTI-YEAR
AGREEMENT FOR THE MAINTENANCE OF A MULTI-FUNCTION COPY MACHINE FOR THE
DEPARTMENT OF PUBLIC WORKS.
Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawai`i, this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter, timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
