Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for two new multi-year lease agreements. These agreements are for two multifunction,
large capacity copy machines to be used by the Office of the Prosecuting Attorney. Their
current copiers arc becoming obsolete, needing frequent service calls and were purchased
on a five year maintenance plan which expires in June 2016.
The Office of the Prosecuting Attorney requests that this resolution be waived from the
Finance Committee and be placed on the May 17,2106 Council agenda. If there are any
questions, please do not hesitate to call Lee Lord of the Office of the Prosecuting
Attorney at 934-3315.

A. REQUEST:
To enter into a multi -year lease agreement for five (5) years for two multifunction large capacity copiers at
the Hilo Prosecutor's office..
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
We would like to request the authorization of payment of funds for more than one fiscal year for two new
copier leases for the Office of the Prosecuting Attorneys Hilo Office. The leases would be for five years.
We are seeking the replacement of two multifunctional copiers for the Hilo office. The current copiers were
purchased on a 5 year maintenance plan which will expire in June 2016. This machines are becoming
obsolete, have been requiring frequent service calls, and are not suitable for continued service. The copiers
are critical to handle the volume of work for our staff covering two Circuit courts, one District Court and one
Family court. New leased multifunctional copiers able to meet copying, printing and scanning needs will
improve overall efficiency in the office. The leases are budgeted for the new FY beginning July 1. Costs are
expected to remain the same.

RE: Resolution No. 52846 : RESOLUTION AUTHORIZING THE PAYMENT OF FUNDS OF
A LATER FISCAL YEAR AND OF MORE THAN ONE FISCAL YEAR FOR A MULTI-YEAR
LEASE FOR TWO(2)MULTIFUNCTION, LARGE CAPACITY COPIERS FOR THE OFFICE OF
THE PROSECUTING ATTORNEY.
Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawai`i, this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter,timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
