Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi-year lease agreement for a multi-function high capacity color copy
machine for the Office of the Prosecuting Attorney. This copier will be used by the
Prosecutor's Kona office by the Victim's Assistance Unit staff.

A. REQUEST:
To enter into a multi -year maintenance agreement for five (5) years for one multifunction large capacity
copiers at the Kona Prosecutor's office..
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
We would like to request the authorization of payment of funds for more than one fiscal year for a new copier
maintenance agreement for the Office of the Prosecuting Attorney's Kona Office. The agreement would be
for five years.
We are seeking the a multifunctional copier for the Kona office. We are purchasing a copier for the Victim's
Assistance Unit staff which will be housed in a separate office at the Kealakekua site. The copier is critical to
handle the volume of work for our VAU staff covering two Circuit courts, one District Court and one Family
court. New leased multifunctional copiers able to meet copying, printing and scanning needs will improve
overall efficiency in the office. The maintenance agreements are budgeted for FY 18 beginning July 1, 2017.

Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawai`i,this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter,timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request,
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
