Re: Resolution for multi-year maintenance agreement
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi-year maintenance agreement. This agreement is for the copy machine for
the Office of the Prosecuting Attorney referenced in resolution 207-17 which was
adopted by Council on May 17, 2017 and will have a cost based on $0.0071 per copied
page. Resolution 207-17 however, will no longer be needed, as the copy machine will be
purchased using grant funds.
The Office of the Prosecuting Attorney requests that this resolution be waived from the
Finance Committee and be placed on the June 23, 2017 Council agenda in order to
expedite this transaction. If there are any questions, please do not hesitate to call Lee
Lord from the Office of the Prosecuting Attorney at 934-3315.

A. REQUEST:
To enter into a multi -year maintenance agreement for five (5) years for one multifunction large capacity
copier at the Kona Prosecutor's office..
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
We would like to request the authorization to enter into a multi-year maintenance agreement for the
purchase of a new copier for the Office of the Prosecuting Attorney's Kona Office.
We are purchasing a multi-functional copier for the Kona's the Victim's Assistance Unit staff which will be
housed in a separate office at the Kealakekua site. The copier is critical to handle the volume of work for our
VAU staff covering two Circuit courts, one District Court and one Family court. A multi-functional copier able
to meet copying, printing and scanning needs will improve overall efficiency in the office. The maintenance
agreements are budgeted for FY18 beginning July 1, 2017 and will use federal funds..

RE: Resolution No. 230-17 : A RESOLUTION AUTHORIZING THE PAYMENT OF
FUNDS OF A LATER FISCAL YEAR AND OF MORE THAN ONE FISCAL YEAR
FOR A MULTI-YEAR MAINTENANCE AGREEMENT FOR ONE (1) MULTI-
FUNCTION HIGH CAPACITY COPY MACHINE FOR THE OFFICE OF THE
PROSECUTING ATTORNEY.
Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawai`i, this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter,timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
