Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi-year lease agreement for a copy machine for the Department of Public
Works. This copier will be used by the Department's Kona Building division, with an
estimated annual cost of approximately$3,313.

A. REQUEST:
Resolution to allow the department to enter into a multi-year lease for a copier for the Department of Public
Works Building Division.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The Kona Building Division's current copier is 9 years old and has broken down. Building Division is
requesting a new copier instead of attempting repairs again as replacement parts are obsolete and difficult to
find. A properly functioning copier is vital to our division's daily operations as there are no copiers in close
proximity. A lease agreement would be more sensible than purchasing a new copier and has been proven
to be historically more cost effective by other county agencies.
The copier will be leased, with maintenance and toner included, for a peiord of five years at an estimated
cost of$3,313.00 annually.

Pursuant to Section 2(g) of Rule 4 of the Rules of Procedure of the Council of the County of
Hawai`i, this written request is submitted with my approval that the above-referenced matter be
waived from the Committee on Finance to the full Council for immediate action. In reviewing
this matter, timely approval is crucial. It is therefore advantageous that approval is granted and
the matter be placed onto the next Council agenda for review. However, in the event this request
is denied, for whatever reason, I understand the matter shall be referred to the Committee on
Finance for placement on its future agenda.
