Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi-year lease agreement for one full-size color scanner/plotter. This
equipment is to be used by the Department of Environmental Management's Wastewater
division to produce construction drawings.

A. REQUEST:
Resolution authorizing the Mayor to enter into a multi-year lease agreement for five (5) years for a full size
color scanner and plotter for the Department of Environmental Management Wastewater Division
Administration Office.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The Wastewater Division is requesting to lease a full size large format Copier/Scanner to produce, copy and
scan construction drawings.
Currently the Wastewater.Division (WWD) cannot produce full size electronic files or hard copies of
construction drawings. Construction drawings typically measure 24" x 36". Previously, electronic files were
being made using a scanner in another Department. However, that scanner is no longer available for WWD
use. The electronic files are to be stored on the County network server which will serve the need to reduce
paper and be accessible to the WWD Geographic Information System (GIS). Hard copies are generated for
plan review as required.
The full size scanner& plotter will be leased for a period of 5 years. The estimated monthly cost for the
lease is $390. Funding for the lease is included in the FY 2017-2018 budget.
