Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a new multi-year lease agreement for five digital multi-function copy machines for
the Department of Environmental Management. Four of the copiers are to replace units
which are currently obsolete at various Solid Waste scalehouses and baseyards and one
unit is to be used at the Pu'uanahulu scalehouse which currently does not have a copier.
The estimated monthly cost of each copier will be approximately $300.

A. REQUEST:
Resolution authorizing the Mayor to enter into a multi-year lease agreement for five (5) years for five (5)
digital multi-function copiers; one (1) for each of the following Department of Environmental Management's
Solid Waste Division locations: Hilo Baseyard, Hilo Scalehouse, Kona Baseyard, Waimea Baseyard, and
Pu'uanahulu Scalehouse.
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The current copiers at the Hilo Baseyard, Hilo Scalehouse, Kona Baseyard, and Waimea Baseyard is
requiring more frequent service calls and replacement parts are obsolete. The copiers are currently not
meeting the Division needs as fasr as copying, scanning and faxing with the copiers constantly needing
repairs and servicing.
The Pu'uanahulu Scalehouse currently has no copier, but an All-In-One printer that is used. The printer does not
meet the Division needs due to the amount of scanning and copying that needs to be done on a daily basis.
As the Division researched, it was found to be more practical to lease new copiers than to outright purchase then
as the maintenance plan will be inclusive within the contract with the lessor.
The copiers will be leased for a period of five (5) years. The estimated monthly cost for the leases will be
$300.00.
