Re: Resolution for multi-year lease
Enclosed is a resolution authorizing the payment of funds for more than one fiscal year,
for a multi-year lease agreement for two copy machines for the Department of Public
Works, Automotive Division. The total estimated monthly cost will be approximately
$178.

A. REQUEST:
To enter into a multi-year lease agreement for five (5) years fora copier at the following location: Department
of Public Works Automotive Division (Mechanic Shop).
B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
The Automotive Division's current copier is over 10 years old and is inoperable. Vendor has been unable to
repair copier and replacement parts are obsolete. A properly functioning copier is vital to our division's daily
operations to keep record of vehicle/equipment repair orders generated and parts ordered. Lease of a
copier includes the option to upgrade to a new copier at the end of the lease period and all maintenance and
supplies needed. Purchase of a new copier does not include the option to upgrade once it becomes
outdated/obsolete or irrepairable.
The department's lease for the copier is$50 base rate per month and$0.0097 per copy for 60 months
(including maintenance and all parts/supplies).

B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED):
Automotive Division's Xerox machine was purchased in 2015. The machine is older, so the copies do not
appear clear and often gets jammed. Automotive is currently leasing this older Xerox copier and the 5-year
lease expires this fiscal year(FY19-20). .
The departments's lease for the copier is $128 base rate per month plus $0.0068 per copy for 60 months
(includes maintenance and all parts\supplies).
