View Gym Martial Arts Classroom MINUTES The meeting was called to order at 5:45 p.m. by Subcommittee Chair, Marlene Hapai. In attendance: Stephanie Bath, Martin Mimmack, Patti Pinto, Farris Esterlee, Chris Cholas, Hannah Hendrick, Bill Hanson, Marlene Hapai, Chair It was moved by Stephanie Bath and seconded by Patti Pinto that the minutes be approved as circulated and unanimously approved. Old Business: Discussion continued regarding Emergency Response Mapping Workshops with people of contact designated for Fern Acres and Leilani Estates, dates available given by Civil Defense, and dates still to be confirmed by subdivision people of contact. Available dates given in 2c. below. 1. Emergency Response Mapping Workshops a. Coordinators for each workshop b. Person of contact within subdivision/area for each workshop c. Presenters, Moderators for each workshop d. Finalizing date, time and location details for each subdivision presentation e. Production and distribution of flyers 2. Community Presentation Schedule a. Subdivisions — Leilani, Fern Acres b. Subdivision Leadership /People of Contact Fern Acres — Patti Pinto — pintonian @gmail.com Leilani — Russ Schultz, 557 -4239 c. Dates and Time available for Civil Defense in April/May: 10:00 a.m. — Noon April 13, 21 May 4, 18 With the approval of the PCDP Action Committee to proceed with the PREP Fair, the majority of the remaining meeting time and discussion focused on Audiences, Presentations, Activities, Contests, Funding, Sponsors, Publicity and Facilities associated with the fair. 3. Puna Regional Emergency Preparedness (PREP) Fair — approved to proceed by PCDP Action Committee on March 12, 2013; August 31, 2013, 9:00 a.m. - 3:00 p.m.; Use of Keaau High School confirmed by Principal Dean Cevallos, pending submittal of appropriate forms and responsible party. Civil Defense agreed to be responsible agency. Keaau High School is central to upper and lower Puna and Principal Cevallos is honored to have his school host the fair. 4. Brainstorming continued on PREP Fair reviewing input from last subcommittee meeting, input from meeting with Bill Hanson of Civil Defense and adding new input including Audiences, Types of Presentations, Activities, Contests, Hazards to be presented, Funding, Sponsors, Publicity, Facilities. Farris Esterlee agreed to do a spreadsheet for the budget, Patti Pinto and Marlene Hapai to draft an "Ask" letter to sponsors, and all agreed that Bill Walters of Shipman Estate be kept informed as this subcommittee proceeds. Specific topics presented included the Hawaii State Department of Health's "Plan 9, A Simple Guide to the nine essential items to help you shelter -in- place in the event of an emergency" and FEMA's "Guidance on Planning for Integration of Functional Needs Support Services in General Population Shelters" November 2010 with specific discussion related to addressing disability issues and special needs. Martin Mimmack provided the FEMA document. New Business: Due to the need to begin the next meeting, New Business found below was tabled until the next meeting. • Subcommittee committees on different hazards; hurricanes /waterspouts, tsunami, flooding, fire, lava flows, earthquakes (recommendations for experts in each area to contact and contact them to see availability on August 13th — 10 -15 minute presentation + Question and Answer period) Next Meeting: April 23, 2013 Adjournment: Moved by Hannah Hendrick and seconded by Patti Pinto that the meeting be adjourned at 7:17 p.m. Unanimously approved.
