MINTUES
Call to Order: 5:38 p.m.
In attendance: Marty Mimmack, Stephanie Bath, Hannah Hedrick, Jerry Reiss, Bill
Hanson, Marlene Hapai, Chair
Approval of Minutes as Circulated
Old Business:
1. Update on Emergency Response Mapping Workshops
• HPP June 30th General Meeting — 3:00 p.m. — will include:
Introduction to Emergency Evacuation Mapping, Overview of PREP
Fair to be held August 31, 2013, Overview of July 13 and August 3,
2013 Training Workshops, Evacuation Mapping for HPP residents
interested, Sign Ups for Workshops and Fair helpers
• Emergency Evacuation Mapping Training Workshops:
Saturday, July 13, 2013, 10:00 a.m. -Noon, Keaau Community Center
Saturday, August 3, 2013, 10:00 a.m. — Noon, Keaau Community
Center
2. Update on Puna Regional Emergency Preparedness (PREP) Fair
• Review of Updated PREP Fair Planning Document
• Need for Core Co- Chairs (2 -3 people for each major area of concern)
• Recommended areas:
1. Facilities and Planning — site mapping for all activities,
communication with Keaau HS — Marlene Hapai, Bill Hanson,
+ logistics person from Civil Defense
2. Communications — Invitations to Presenters, track responses
including needs for the day (Patti Pinto, Hannah Hedrick,
Marlene Hapai)
3. Fundraising /Sponsors — Marlene Hapai, Patti Pinto, Jerry
Reiss, Bill Hanson — reviewed and assigned extensive list of
potential local sponsors to be contacted to contribute to
Emergency Preparedness bags. 250 to be given out that day.
25 every half hour via lucky numbers given at presentations,
exhibit booths, activities and contests. Still need someone to
cover Pahoa businesses. KTA and Keaau Ace Hardware
major sponsors, thus far.
4. Program — schedule for the day, written program with map of
campus (building/keys), participating sponsors — Marlene
Hapai, Marty Mimmack, Bill Hanson
Many contacts still remain to be made for participation
Would like to feature UHH team going to Russia for their IT
piece on emergency communication — contact not made yet
Include Entertainment — Need someone to contact and schedule
entertainers
*Idea: Have major sponsors present prizes at prize give -aways
5. Emergency Response Mapping Make and Take
First session — June 30th — HPP Community Meeting
3:00 p.m. HPP Community Center
6. Publicity — Marlene Hapai, Jerry Reiss, Marty Mimmack, Bill
Hanson, Pua Evans (need to ask her)
Article submitted to and received by Leigh Critchlow.
Will need to apply a 3:2:1 strategy as we draw closer, ie., 3
weeks before, 2 weeks before, 1 week before: especially HI.
Tribune Herald Calendar and other articles focusing on
featured presenters, radio interviews and public service
announcements. — All free
7. Data Collection — Toni Robert, Bill Hanson, Patti Pinto
(Survey development, data collecting, survey conducting,
analysis)
New Business: Bill Hanson presented the need to create or obtain maps for each
subdivision and /or surrounding area for emergency evacuation maps and need to create
excel sheet on all presenters, what they are doing, needs, to begin planning where they
will be located on the Keaau High School campus.
