REQUEST: <br />PHONE: 961-8234 <br />The Department of Public Works Highway Maintenance Division is requesting a resolution authorizing the <br />payment of funds of a later fiscal year and of more than one fiscal year for a multi -year lease for seven (7) <br />multi -function color copiers which include scanner, printer, fax. One (1) machine will be assigned to the <br />Highway Administration office and one (1) assigned at each of the six (6) highway baseyards (South Hilo, <br />Puna, Ka'O, H5makua, South Kohala, Kona). <br />B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED): <br />The multifunction machines will be used to create copies, high -quality larger prints, and day to day regular <br />prints. Will include scanning to archive printed/hard copy records and fax machine. All copier leases for the <br />Highway Maintenance Division have expired and machines are experiencing frequent breakdowns. <br />The estimated cost for six baseyard machines is approximately $356.57/month over a sixty (60) month term <br />which includes lease and monthly service including parts, labor, toner and staples. <br />The estimated cost for Highway Administration machine is approximately $178.66/month over a sixty (60) <br />month term which includes lease and monthly service including parts, labor, toner and staples. <br />SIGNED: <br />Department Head <br />DATE: 3/21/25 <br />
