REQUEST: <br /> Approval to enter into a five (5) year lease agreement for three (3) multi- function copy machines. Two (2) for <br /> the Hilo Planning office and one (1) for the Kona Planning office. <br /> B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED): <br /> The copiers are used for printing of departmental documents and necessary printed plans, documents and <br /> presentations for the County Community Development Programs around the island. <br /> All three copiers were leased on five (5) year programs. Two copiers are black and white and one is color. <br /> They are: 1)Kona - Xerox 425 (b /w) leased on April 1, 2003 for 5 years. 2)Hilo - Xerox DC332SLX (b /w) <br /> leased on December 1, 2005 for 5 years. 3)Hilo - Xerox Work Center Pro (color) leased on December 1, <br /> 2005 for 5 years. All three copiers are well used and not suitable for extension of the lease period. <br /> These machines are presently being leased for a total of $1,633.04 per month plus per copy charges beyond <br /> lease included number of copies at just over 1.6 cents per black/white copy and 10.1 cents per color copy. <br /> The new lease expense will be approximately $1,475.00 per month for all three (3) machines. Copy charges <br /> beyond the lease included number of copies would run 1.1 cents per black/white copy with a multi- tiered <br /> color cost, depending on the amount of color on the page to no more than 7.9 cents per full color copy. <br /> SIGNED: DATE: <br /> DEC 2 0 2010 <br /> Department Head <br />
