REQUEST: Approval to enter into a five (5) year lease agreement for two (2) desktop black &white copy machines, one (1) with copier stand for the Department of Finance, Vehicle Registration & Licensing Division, Kona Driver Licensing, Commercial Driver Licensing and Periodic Motor Vehicle Inspection Sections and one (1) without copier stand for the Vehicle Registration & Licensing Division, Kona Motor Vehicle Registration Section. B. BACKGROUND AND JUSTIFICATION (USE ADDITIONAL SHEETS AS NEEDED): The Driver License, Commercial Driver License and Periodic Motor Vehicle Inspection Section's black and white copy machine was originally leased in 2006. This model has since been discontinued and a maintenance agreement has been increasingly hard to secure due to the difficulty in obtaining parts for repair. Upgrading to a newer model will allow staff to continue working at a high productivity level and to better serve the public. Commercial Driver License and Periodic Motor Vehicle Inspection are State funded programs and will be covering 35% of the lease and maintenance costs. The Motor Vehicle Registration Section's black and white copy machine was originally purchased in 2006. The copier is becoming problematic more frequently and is causing a disruption in the office. A new copier will allow staff to serve the public with less interruption due to equipment failure and malfunction. A new lease for a multi-function copy machine equipped with fax capabilities, automatic two-sided copying, sorting capabilities, 25 page minimum automatic document feeder and minimum print speed of 30 copies per minute will cost approximately $90.00 per month (for each unit) plus $.02508 for each black and white copy in excess of the monthly print allowance.
