<br />Concern was also expressed that the procedure for review of the application and the <br />40 <br />notification made to the Planning Department of there to be no comments had not been <br />41 <br />established. The AC members explained that the understood assignment was to review the <br />42 <br />application to see if the AC should make comments and if comments were to be made to <br />43 <br />inform the Planning Department and draft the comment for the AC to discuss and vote at the <br />44 <br />next meeting (this meeting). Clarification was made that the recommendation was for no <br />45 <br />comments to be made for this application. <br />46 <br /> <br />ii.Procedures of the Sub-Committee for Permit Review <br />47 <br /> <br />1)All communications are to be received by the Chair. <br />48 <br /> <br />2)Without delay, upon receipt by the Chair communications will be distributed without <br />49 <br />comment to all committee members. <br />50 <br /> <br />3)All Permit Activity Submittals will be distributed as described above. <br />51 <br /> <br />4)Permit Activity Submittals will be assigned to a Sub-Committee or a Sub-Committee will <br />52 <br />be formed to review each submittal. <br />53 <br /> <br />a.Request the Chair place the communication on the next meeting agenda for a <br />54 <br />discussion about the relationship of the permit to the CDP; or <br />55 <br /> <br />b.Decide that the Committee has no comment about the permit with regards to the <br />56 <br />CDP – (amendment made to include the following) notification will be sent to the <br />57 <br />AC members via email. <br />58 <br /> <br />5)For easy reference and Annual Reports, all communications, received by the Committee <br />59 <br />or made by the Committee, will be identified in the minutes/agendas with the following <br />60 <br />format – Communication, year, sequential number: description. <br />61 <br />Motion was made by Margaret Horwatt to accept the proposed communication procedures. <br />62 <br />Kit Roehrig seconded the motion. Amendment suggested (reflected above and approval <br />63 <br />given for the amendment by the maker of the motion and second) Unanimous approval <br />64 <br />given. Motion Passed. <br />65 <br />Discussion identified the need to relay to the committee the nature of the applications and if <br />66 <br />possible (due to the size of the file) email the committee the application. At the very least <br />67 <br />per meeting with the Planning Director the front page of the application which identifies the <br />68 <br />type of application and includes a general description of the application will be sent. The <br />69 <br />agenda should also list the permit applications reviewed by the Sub-Committee <br />70 <br /> <br />iii.For the Permit Application received that day from the Planning Department for a Variance <br />71 <br />request was made for the application to be reviewed by Mike Fischer. The comment period <br />72 <br />is due 2/22/13.
